Where Can I Upload Internal Documents?

As an admin, you may have internal documents like playbooks, policy docs, values statements, coaching guidelines, or FAQs that you’d like Tenor’s AI to learn from. The platform can incorporate anything text-based (PDFs, .docx, .pptx). Depending on your goal, you’ll want to upload these documents to one of two places:

  • Guiding Resources (under AI Behavior)
  • Knowledge Base Resources (under Coach)

Each serves a different function, and choosing the right one ensures your content is used effectively in the Tenor experience.

Guiding Resources

Where to find it: Admin Dashboard AI Behavior Guiding Resources

Use Guiding Resources to train the behavior of the Tenor AI across all interactions, including both the coach and scenario feedback. The content is distilled into Tenor’s internal guidance system for your tenant. Think of this as teaching the AI your “house style” or values–it learns from these documents behind the scenes.

  • Values, tone, or cultural principles you want reflected in coaching
  • Internal feedback standards or performance expectations
  • Examples of “what good looks like” in your company’s leadership style

Important: Tenor does not use the text verbatim from these documents. It generalizes and internalizes the ideas to influence how it responds across contexts. Unlike Knowledge Base Resources, these documents won’t show up in the sidebar during coaching sessions. Think of this as training the AI how to act, not what to say. You’re shaping its internal compass, not its external citations.

Knowledge Base Resources

Where to find it: Admin Dashboard Coach Knowledge Base Resources

These documents are used to answer specific questions during coach interactions. If the AI detects a relevant query (like “What’s our process for using peer feedback in a performance review?”) it will pull in excerpts from your uploaded resource and show them in the Resources sidebar. Tenor only surfaces them when directly relevant, and never blends or paraphrases the content.

Use this for:

  • Company policies (e.g., PTO, remote work, performance review timelines)
  • Templates or scripts (e.g., “how to write a growth plan”)
  • Internal FAQs
  • How-to guides
  • Legal or compliance documents

Important: Tenor uses the exact text from these documents. Make sure the wording is clear and ready to be quoted.

Best Practices

  • Guiding Resources are more strategic. Think of these as long-term behavior shapers.
  • Knowledge Base Resources are more tactical. Think of these as just-in-time reference materials.
  • Still not sure? Ask yourself: “Do I want this to shape how Tenor thinks, or do I want it to show up for users to read?” If it’s the first: Guiding Resources; if it’s the second: Knowledge Base Resources.
  • Don’t be afraid to upload a document to both sections if it serves both purposes.
  • Keep your resources updated! Tenor will reflect the latest versions.
